Position Title: Office Assistant
Department/Section: Administration Office/ Finance and Business Services
Supervisor: Finance Director

Hourly Rate: $20.00 - $ 20.75/hour (depending on experience).
Pay Grade: 61
Schedule: 36 hours/week; Monday - Friday; 11 month calendar. Benefits offered. Arizona State Retirement System eligible.

Summary of Function
This position is responsible for performing a variety of administrative duties in support of the Food Service Department, including processing free and reduced-price meal applications, Direct Certification, managing cafeteria funds, processing invoices, and maintaining state and federal program compliance. The role requires close coordination with district staff, state agencies, and vendors, as well as accurate record keeping and data reporting for audits and reimbursement purposes.

QUALIFICATIONS:

  • High School Diploma or equivalent certification - required
    • College degree preferred
  • At least 3 years secretarial or clerical work
  • Ability to deal effectively and positively with public, parents, staff and students
  • Previous experience in a high-standard customer service environment preferred
  • Must be able to multi-task in a high traffic environment
  • Bilingual preferred


TYPICAL TASKS:

  1. Process and review all meal applications and Direct Certification for accuracy.
  2. Assist families with meal applications andresolve related issues.
  3. Generate and reconcile Food Service Point of Sale (POS) reports
  4. Compile and submit district, state and federal meal data reports.
  5. Compile data for State Department reimbursement claims.
  6. Attend required district, state and federal training.
  7. Set up and maintain National School Lunch Program (NSLP) and Summer Food Service Program (SFSP) applications and reports.
  8. Perform site reviews during the academic year and summer program operations.
  9. Reconcile, compile, and deposit food service funds; maintain financial records for cafeteria accounts. ,
  10. Foster positive communication with district and Food Service staff, and ADE, external schools and vendors.
  11. Prepare the annual Food Service budget, process purchase orders, and invoices. Processing invoices for payment, includes matching invoices to purchase order, verifying receipt of items, recording and filing food service information.
  12. Submit and track catering invoices.
  13. Update and manage department webpage content, including calendars.
  14. Compile documentation for annual audits in coordination with Business Services and auditor and for ADE Audits which occur every 5 years
  15. Perform additional related duties as assigned
